Precautions When Viewing Data

If possible, only view your student's confidential data online when you have some privacy. Avoid computers with public access.

Do not leave your computer unattended while signed in to your account. If you need to leave, even for a few moments, sign out of your account first. This prevents you from forgetting that you were signed in and leaving your account open to anyone sitting at the your computer and viewing and printing your students' confidential data.

Precautions When Storing and Discarding Data

Make sure to keep any data (electronic or hardcopy) in a safe location, away from prying eyes. When discarding data, use a shredder rather than your recycling bin. When discarding disks, delete the data first. Completely destroy media storage that cannot be deleted or overwritten.

Precautions When Sharing Data

Printing

Whenever you print secured data, it’s best to use a printer in your classroom or office. If you must use a remote printer, be sure you know its exact location before printing, and pick up your print job immediately. Never use a public printer or any printer where your printout would be accessible to unauthorized persons.

Do Not Transmit Confidential Data Electronically

Electronic data transmission is not secure; it can be intercepted. In addition, you have no guarantee that the recipient will not forward your message to unauthorized users. Therefore, do not transmit confidential student data electronically.

Sharing Student Data with Other Teachers

Legally, you can only share a student’s data with those directly involved in making instructional decisions for the child. If you share a student’s data with other teachers, make sure they each fit this criterion (e.g., a pullout teacher serving the child). When in doubt whether or not you can share data with someone, your principal or campus account manager can advise you.

Sharing Student Data With Parents

Sharing data with parents is a valuable instructional tool. However, when printing rosters or tables listing all students in your class, make sure the parents of one child cannot see information for other children.
